Fees and billing
School Fee Management Software
Fee collection fails when the “official” amount lives in someone’s head. SchoolPilot fee management defines structures, generates invoices, tracks dues and shows families what they owe — in PKR, with plans built for Pakistani schools.
Structures first, chasing second
Start with fee structures assigned to the right students or classes, including extra-student pricing at the subscription level for the school’s own SchoolPilot plan. Inside the school, invoices, discounts and collections are recorded against those structures.
The office can see pending payments and payment history instead of reconstructing dues from a cash register and a WhatsApp screenshot. That is the difference between bookkeeping and a fee module.
Parents need the same numbers
Parents can view fees in the parent portal and student fees can appear in the student portal where applicable. When families see the same invoice the accountant sees, arguments about “which challan” drop.
SchoolPilot is sold with transparent PKR pricing for the software itself (base plan for the first 100 students, then per extra student; yearly billing with two months free). School fee modules are separate: they manage the school’s own tuition and charges.
Billing the school vs billing the family
Do not confuse SchoolPilot subscription billing (the school’s plan, invoices and payment proof to the platform) with student fee collection. Both exist in the product family: platform billing for the tenant, and the finance/fees modules for student charges.
Schools still decide how families pay (bank transfer, cash, or local methods they already use). The software’s job is to keep the liability, invoice and status accurate.
Benefits
Invoices tied to students
Dues attach to SIS records, not a disconnected fee app with mismatched names.
Discounts and structures
Model how the school actually charges, then generate invoices from that model.
Office and parent views
Accountants work collections; parents see their own fee status.
Use cases
Accounts office
Issue invoices, track pending dues and reconcile collections.
Admissions + fees
New students inherit the right fee structure with their enrolment.
Parents
Check what is due without visiting the office during work hours.
How to evaluate this in a trial
Fee collection fails when the “official” amount lives in someone’s head. SchoolPilot fee management defines structures, generates invoices, tracks dues and shows families what they owe — in PKR, with plans built for Pakistani schools.
Create a school account, enter a small class list, and run this workflow with two staff roles. If it only works in a sales demo, it will not survive the first week of term. Compare published PKR pricing with the hours you already spend reconstructing the same data.
Frequently asked questions
Can schools manage fees with SchoolPilot?
Yes. SchoolPilot includes fee structures, invoices, discounts and collection tracking, plus parent and student visibility of fee status.
Is SchoolPilot priced in Pakistani rupees?
Yes. Published plans are in PKR, with a base fee for the first 100 students and a per-student amount after that. Yearly plans bill 10 months (two months free).
Does fee data stay private?
Student fee records belong to the school tenant and sit behind authentication. They are not marketing pages and are not meant to be indexed by search engines.
